How to Edit a PDF with AI (Convert, Edit, Export)

The reliable way to edit a PDF with AI: convert it into an editable document with its headings and tables, tell the AI what to change, then export a new PDF or DOCX. What an AI PDF editor can and cannot do.

The most reliable way to edit a PDF with AI is to convert it into an editable document, make your changes by telling the AI what you want, and export a new PDF or Word file. A PDF is designed to look the same everywhere, which is exactly what makes it awkward to revise. Once the text, headings and tables are in a real document, an AI PDF editor workflow becomes as simple as editing any other file.

This guide shows that workflow in Fable (fable.la), a desktop AI document editor for Mac and Windows, and explains what to expect: what converts cleanly, what happens with scanned pages, and when a different kind of tool is the better choice.

Two Kinds of AI PDF Editor

Tools sold as an "AI PDF editor" usually do one of two things:

  • Edit on the page. The tool changes text inside the PDF itself, keeping the original layout. This suits small fixes to a designed document: a typo on a brochure, a date on a form.
  • Convert, edit, export. The tool turns the PDF into an editable document, you revise it freely (rewrite sections, reorder, restructure), and you export a new file. This suits real revision: updating a report, reworking a proposal, adapting last year's policy.

Fable is the second kind, and it is worth being clear about that: Fable does not edit the original PDF file in place. It creates a new, editable document from it, and your original PDF is left untouched.

Step 1: Import the PDF

Create a project and import the PDF (up to 20 MB per file). Fable extracts the text and rebuilds the document's structure: headings stay headings, tables are reassembled as real tables, sentences split across a page break are rejoined, and repeated page headers are usually removed. Images in the PDF are brought in too. Each file becomes one document, so importing a folder of PDFs gives you one document per file in the same project. See the import and export guide for every supported format.

Scanned PDFs

If the PDF has no text layer, as with most scans and photographed pages, Fable runs text recognition on the pages automatically and builds the document from what it reads. Results are best with clean, straight, high-contrast scans. Photos inside a scanned page are not extracted, and handwriting or faint print may come through imperfectly, so check names, figures and dates against the original before you rely on them.

Step 2: Check the Conversion

Skim the new document next to the original. Look at tables, numbered lists and any section that used an unusual layout, such as sidebars or multiple columns, which become ordinary text in reading order. Fixing a heading level or a merged table cell now saves confusion later. You can make these fixes by hand or with an instruction like "make each bold label in the appendix a heading."

If you only need the text and structure as Markdown, for example to use in another tool, our PDF to Markdown converter is the quicker route.

Step 3: Tell the AI What to Change

Type or speak an instruction, and the AI reads the whole document before it edits. Useful instructions for documents that started life as PDFs:

  • "Update every reference to 2025 so it says 2026, except in the historical data table."
  • "Rewrite the summary for a non-technical audience in under 150 words."
  • "Remove the section on the discontinued product and fix any references to it."
  • "Combine the two FAQ sections and remove duplicate questions."

Each edit shows you what changed and is saved to the version history with the instruction and author, so you can restore any earlier version if an edit is not what you wanted. More on phrasing in editing with AI.

Step 4: Ask Questions Across Several PDFs

Many people searching for "chat with PDF" want answers from a stack of documents, not edits. Import the PDFs into one project and use the project assistant: ask "which of these supplier agreements has the shortest termination notice?" and it answers from the documents in the project. If you then ask it to make a change, it proposes the edit as a diff you approve in one click.

Step 5: Export a New PDF or DOCX

Export the finished document as a PDF to send, or as a .docx if someone will keep working on it in Word. Markdown, HTML and plain text are also available. You can export one document or every document in the project at once.

When to Use Which Approach

Use an in-place PDF editor if

  • The layout is the point: a designed brochure, a certificate, a form with fields
  • You are fixing a few words and want the page to look identical afterwards
  • You need to fill, sign or annotate the PDF itself

Use Fable's convert, edit, export workflow if

  • You are revising content: rewriting sections, restructuring, updating figures throughout
  • The PDF is the only copy of a document you now need to keep editing
  • You want to work on it with colleagues, with suggestions and a version history
  • You want to ask questions across several PDFs at once

Tips for Editing Any PDF With AI

  • Start from the best source you have. If the original Word or Markdown file exists, import that instead; it converts more faithfully than a PDF made from it.
  • Protect the facts. Add "do not change any figures, names or dates" to instructions about tone or length.
  • Compare against the original. Keep the source PDF open while you review; it is your reference copy.
  • Re-export, do not overwrite. Give the new PDF a new file name so the original stays available.

Frequently Asked Questions

Can AI edit a PDF?

AI can edit the content of a PDF once that content is in an editable form. Some AI PDF editors change text on the page in place. Fable takes the other route: it converts the PDF into an editable document with its text, headings and tables, lets you edit it with AI, and exports a new PDF or DOCX. Your original PDF is not modified.

Does Fable edit my original PDF file?

No. Fable reads the PDF and creates a new, editable document from it. When you are done, you export a new file in PDF, DOCX, Markdown, HTML or plain text. The original PDF stays exactly as it was, which also means there is always a clean copy to compare against.

What about scanned PDFs?

When a PDF has no text layer, as with most scans, Fable runs text recognition on the pages automatically and builds the document from the recognized text. Clean, straight scans work best. Photos inside a scanned page are not extracted, and you should check names and figures against the original.

Will the layout of my PDF be preserved?

The structure is preserved: headings, paragraphs, lists and tables. The exact visual layout is not, because the goal is an editable document rather than a copy of the page. Multi-column designs, forms and decorative layouts become clean, single-flow text. If the layout itself is the deliverable, use a PDF editor that edits in place.

Is there a size limit for PDF import?

Fable accepts PDFs up to 20 MB each, and you can import up to 20 files at a time. Each file becomes its own document in the project.
